PLEASE NOTE: If your company plans to use a contractor other than the Rileighs Convention Services, you must complete the Intent to use non-official I & D Contract Form and return at least thirty (30) days prior to show. Failure to comply with any or all of the above will result in refusal of the non-official contractor to service your exhibit.

Show Information: A-Z Guide

ADVANCE ORDERS
It is always best to order services and/or furnishings in advance of the Show. Orders placed after deadlines or on-site are higher in costs and processed after advance orders . Save time and money, order early! See Exhibitor Checklist to assist with ordering or http://www.easternsportshow.com in the Exhibitor Information page. If you have any questions or are unable to download any order forms, call 800-467-5656 and we will assist you.

ADVANCE TICKETS
Exhibitors may purchase tickets in advance for customers and guests. Exhibitors may purchase tickets at $8.00 each, a savings of $4.00 off adult admission. Refer to the order form in the Exhibitor Badges section of this manual.

ANIMALS
Exhibitors cannot bring any live animals into State Farm Show Complex without prior permission of Show Management. Dogs and guide dogs are exempt, however all dogs must be kept within the confines of the exhibitor's booth. Show management reserves the right to banish any dog it determines is a threat to other people or animals at the show.

AUDIO VISUAL
J.P.Lilley is the official audio/visual services vendor. Please refer to the order form in the Official Contractors section of this manual.

BOOTH FURNISHINGS & DISPLAY
The Show provides a basic booth for each exhibitor renting a non-bulk space, consisting of an 8' high back wall, 3' high side rails and a 7"x44" identification sign. If you desire carpeting, booth furnishings, booth cleaning or other booth accessories, the Show decorator, Rileighs Convention Services, has various selections their order forms are found in the General Contractor section of this manual. The deadline for ordering from Rileighs Convention Services to receive the advance order discount is January 29, 2010.

COPYRIGHTED MUSIC
If any copyrighted music is to be played in your booth, you must obtain all necessary licenses from the copyright owner or licensing agency representing the copyright owner. The licensing requirements include the playing of live, as well as recorded music, (records, tapes, compact discs, etc.) and also includes the music, whether it is the essence of the presentation or is only used as background, on a videotape or other presentation.

The proper license must be posted in your booth and available for inspection at the request of Show Management or properly authorized agents of ASCAP or BMI. We advise you to contact these agencies as listed below to acquire the proper license.

Adherence to these federally mandated copyright licensing laws is of critical importance. Failure to do so is both a violation or federal copyright law, and a breach of your contract for exhibit space for the Show.

DIRECTORY LISTING *VERY IMPORTANT*
All exhibitors will be listed in the Show Directory alphabetically and by category. Please refer to the Category Listing Form, deadline date is December 4, 2009.

DRESS CODE
Reed Exhibitions has worked hard in maintaining a quality, family oriented marketing event for all exhibitors and attendees over the years. Reed Exhibitions is requesting that all exhibitors, staff and temporary hired help be appropriately clothed for the winter months. Bathing suits/bikinis, short-shorts or cropped tops are not acceptable. Any displays and/or distributed materials considered by Show Management to be lewd, lacking in dignity or not conducive to a business environment are prohibited. Anyone dressed inappropriately will be escorted from the Show.

Should special requests need be made, please address them to Show Management. Show Management reserves the right to revoke any and all working credentials of those not abiding by the rules. Thank you for your cooperation.

DISPLAY REGULATIONS

ELECTRICAL
All electrical work is to be ordered in advance to avoid late fees and delays in receiving service. Please refer to the Electrical Order Form, deadline date is December 17, 2009.

EXHIBITOR BADGES
All exhibitors are required to wear name badges with both first and last names listed as well as company name. Please refer to the Exhibitor Badge Order Form pdf, deadline date is January 28, 2010.

FIRE MARSHALL REGULATIONS
Please review the Fire Marshall Regulations document to have a thorough understanding of all rules and regulations prior to event move-in and show start. Any questions, you may contact the Harrisburg Bureau of Fire at 717-255-6464 or fax to 717-255-6448.

INSURANCE
Exhibitors are responsible for space allotted to them. Exhibitors should contact their insurance companies to secure an all risk rider policy from the time their materials are shipped to the Show to the time they are returned to your place of business. If there are damages to the building, or its property, attributable to you, it is the Exhibitors responsibility to reimburse the State Farm Show Complex.

INTERNET SERVICES
Wired (RJ45 Ethernet) or wireless internet service is available. All telephone and internet work is to be ordered in advance to avoid late fees and delays in receiving service. Review the Telecommunications Order Form, deadline date is December 17, 2009.

LOADING/UNLOADING PASS
This is a 5” x 8” pass printed on green card stock and is to be placed on the dashboard of vendor/exhibitor vehicles to be used while dropping or picking up supplies. This complimentary pass, is dated and only good for a time period of less then 1 hour. It is not a parking pass for the main parking lot. Passes will be available at Exhibitor Registration in the Cameron Street Lobby.

MOVE-OUT
Move-out does not begin until February 14, 2010 at 5:01PM. It is unfair to the attendees who come to the Show on Sunday, only to discover that half the exhibits have already packed up and are ready to leave. Any exhibit which breaks down early will be penalized (i.e. loss of exhibit space location). Should you proceed to break down early, you will be required to sign a form acknowledging that you will be penalized.

PARKING
The Farm Show Complex charges $8.00 per day for parking. You may purchase parking passes in advance for either the full 9 show days at $45.00 or by individual days at a discounted price of $5.00 daily. Parking Pass Order Form, deadline date is January 16, 2010.

PICK-UP PASS, EASY CURB PURCHASE PICK UP PASS
This pass is available in the Show Office free to all exhibitors throughout the Show. It allows any customer at the show to drive their vehicle to the Shuttle Bus drop off area at the Cameron Street side, to pick-up large, bulky and/or heavy purchases. This pass is only valid with a dated show receipt attached. Please stop by to pick up these passes in the Show Management Office or see your Floor Manager.

RV PARKING & ELECTRICAL HOOKUP
Electrical hook-up available for exhibitors parking in RV lot of the Farm Show Complex. Please refer to the RV Trailer Electrical Hookup Form PDF.

SALES TAX-VENDORS
All exhibitors selling merchandise on the Show floor are required to obtain a sales tax license from the Pennsylvania Department of Revenue. To obtain a form PA-100 please go to Bureau of Business Trust Fund Taxes website at www.pa100.state.pa.us. Please note that the form will need to be completed on-line. Please visit the site and complete the form and submit it to the Department of Revenue as soon as possible. The sales tax license that you are issued is good for a period of 5 years.

STATE-LAW , PA -TAXRPTR 100-161, SEC. 208. [72 P.S. §7208] Licenses. –

PENNSYLVANIA UNCONSOLIDATES STATUTES –LAWS OF PENNSYLVANIA , TAX REFORM CODE OF 1971, ARTICLE II SALES AND USE TAX, Part IV Licenses.

Sec. 208. [72 P.S. §7208] Licenses –

(a) Every person maintaining a place of business in this commonwealth, selling or leasing services or tangible personal property, the sale or use of which is subject to tax and who has not hitherto obtained a license from the department, shall prior to the beginning of business thereafter, make application to the department, on a form prescribed by the department, for a license. If such person maintains more than one place of business in this commonwealth, the license shall be issued for the principal place of business in this commonwealth.

(b) The department shall , after the receipt of an application, issue the license applied for under subsection (a) of this section, provided said applicant shall have filed all required state tax reports and paid any state taxes not subject to a timely perfected administrative or judicial appeal or subject to a duty authorized deferred payment plan. Such license shall be nonassignable. All licensees as of the effective date of this subsection shall be required to file for renewal of said license on or before January 31, 1992. Licenses issued through April 30, 1992, shall be based on a staggered renewal system established by the department. Thereafter, any license issued shall be valid for a period of five years.

(b1) If an applicant for a license or any person holding a license has not filed all required state tax reports and paid any state taxes not subject to a timely perfected administrative or judicial appeal or subject to a duly authorized deferred payment plan, the department may refuse to issue, may suspend or may revoke said license. The department shall notify the applicant or licensee of any refusal, suspension or revocation. Such notice shall contain a statement that the refusal, suspension or revocation may be made public. Such notice shall be made by first class mail. AN applicant or licensee aggrieved by the determination of the department may file an appeal pursuant to the provisions for administrative appeals in this article. In the case of a suspension or revocation which is appealed, the license shall remain valid pending a final outcome of the appeals process. Notwithstanding sections 274, 353(f), 408(b), 603, 702, 802, 904 and 1102 of the act or any other provision of law to the contrary, if no appeal is taken or if an appeal is taken and denied at the conclusion of the appeal process, the department may disclose, by publication or otherwise, the identity of a person and the fact that the person's license has been refused, suspended or revoked under this subsection. Disclosure may include the basis for refusal, suspension or revocation.

(c) A person that maintains a place of business in this commonwealth for the purpose of selling or leasing services or tangible personal property, the sale or use of which is subject to tax, without having first been licensed by the department shall be guilty of a summary offense and, upon conviction thereof, be sentenced to pay a fine of not less than three hundred dollars ($300) nor more than one thousand five hundred ($1,500) and, in default thereof, to undergo imprisonment of not less than five days nor more than thirty days. The penalties imposed by this subsection shall be in addition to any other penalties imposed by this article. For purposes of this subsection, the offering for sale or lease of any service or tangible personal property, the sale or use of which is subject to tax, during any calendar day, shall constitute a separate violation. The secretary of revenue may designate employes of the department to enforce the provisions of this subsection. The employes shall exhibit proof of and be within the scope of the designation when instituting proceedings are provided by the Pennsylvania rules of criminal procedure.

(d) Failure of any person to obtain a license shall not relieve that person of liability to pay the tax imposed by this article.

SECURITY ADVISORY (EXHIBITORS)
Included in this manual are some security recommendations (exhibitor security advisory pdf). While adequate guard service will be provided by Reed Exhibitions around the clock, it is the sole responsibility of each exhibitor to take precaution to prevent merchandise loss or damage.

SHIPPING/DRAYAGE
Advance shipments to the warehouse must be received by February 3, 2010. Direct shipments must not arrive at the Farm Show Complex prior to February 3, 2010. Please refer to the Drayage Order Forms.

SHOW OFFICE
The Show Office is located off the Cameron Street lobby between the Fishing Hall and the North/Northeast Halls. Reed Exhibitions personnel will be available to serve you should you need any assistance. The telephone number is (717) 783-2843 from February 4 – February 14, 2010.

SIGNAGE
The Show provides a 7" x 44" identification sign. If you desire additional signage, the Show decorator, Rileighs Convention Services, has various selections. Contact Rileighs directly at 717-236-5075 or 800-421-5075 for your signage needs.

TELEPHONE SERVICES
All telephone and internet work is to be ordered in advance to avoid late fees and delays in receiving service. Please refer to the Telecommunications Order Form, deadline date is December 17, 2009.

TRAILER PARKING
A designated area for trailer parking will be assigned. During move-in a Farm Show Security Officer will be at that location to assist with proper placement. Should you attempt to park your trailer in another location on the State Farm Show Complex property not provided and requested by Show Management, your trailer will be moved and you will be fined.

PLEASE NOTE: ALL PARKING FACILITIES ARE MAINTAINED AND CONTROLLED BY THE STATE FARM SHOW COMPLEX. SHOW MANAGEMENT DOES NOT PARTICIPATE IN SETTING THE PARKING RATES NOR DO WE SHARE IN ANY FINANCES DERIVED FROM THIS SERVICE.
